Job Responsibilities:

  • Schedule and confirm appointments and maintain event calendars.
  • Copy, file and maintain paper or electronic documents and records.
  • Manage bookings by phone, e-mail, letter, fax or face-to-face.
  • Answer telephone calls, take messages, forward calls.
  • Record and prepare minutes of meetings.
  • Arrange travel, related itineraries and make reservations.
  • Greet, direct and manage sign-in procedures for all visitors and clients in a professional manner. Inform staff of arrivals and cancellations.
  • Prepare and manage expense reports for Senior Management.
  • 24/7 availability for executive leadership requirements (on-call).
  • General office support to the team, such as ordering supplies, inventory maintenance, responsible for office machines in good working order and set up.
  • Handle incoming and outgoing mail.

Job Requirements:

  • Must be able to lift to 30 kg when required.
  • Show initiative and work independently as required.
  • Experience with MS Office, Word, Excel, Power Point, Outlook etc.
  • Must be at least 18 years of age & legally able to work in Canada.
  • Other duties as assigned.
  • Must be professional in dealings with all internal and external client groups.
  • Office Administration diploma/degree is an asset.
  • Ability to communicate verbally and written in English in a clear, concise manner.
  • Must be able to treat confidential information as required.
  • Excellent organizational, planning skills and good attention to details.
  • Experience with working in a busy, changing environment.
