Job Description:
The Coordinator will work closely with the Director of the Vancouver School of Economics (VSE) Career Centre to run the programs, services, and events, offered to approximately 400 Bachelor of International Economics (BIE) students. They will provide coordination and high level administrative support across the VSE Career Centre in order to effectively plan, implement, and execution of a wide range of career programs, services, and events for the BIE students. This includes but is not limited to employer networking and recruitment activities, student leadership programs, student-led initiatives, and the on- boarding, orientation, and transition activities of volunteers , WorkLearn students, and staff, and the VSE Career Centre Volunteer Program.
Job Responsibilities:
- Coordinates both operational programs and services that enable the VSE Career Centre team to successfully deliver career related personal and professional development services. This includes identifying and recommending areas for team improvement, coordinating various workshops, mentoring BIE students and special events that occur regularly throughout the year
- Assists with researching, writing, editing, and updating of programming content as required
- Aids the Director with monitoring student engagement and assessing effectiveness of programs and services by surveying students
- Assesses appointment requirements and provides scheduling management support to the Director and refers stakeholders as is necessary to the Director or appropriate resources
- Works to support the Director in providing BIE students with personal and professional development opportunities.
- Creates, updates and maintains complex and regular correspondence with BIE students as well as ensures the integrity of the BIE Career News and marketing materials
- Acts as first point of contact for the VSE Career Centre, interprets complex and routine inquiries in-person, by telephone, via email and mail, and responds using comprehensive knowledge of programs and services
- Arranges meetings, interviews, and career events; coordinates schedules, prepares agendas and other documentation, books rooms, makes catering arrangements, and takes, prepares, and distributes minutes
- Creates and updates procedure manuals for use by staff, student workers and volunteers
- Updates and maintains the VSE Career Centre website; edits web pages as necessary, updates the calendar regularly, creates and maintains templates and timetables, verifies and updates links and uploads documents as necessary
- Coordinates and participates in the recruitment, selection, onboarding, orientation, and training of student volunteers for events, including but not limited to, volunteer training sessions on departmental policies and practices, safety & risk management, service delivery, and event logistics
Administers the onboarding and debriefing processes for new and departing staff, student workers, and volunteers by determining, requesting, and providing and/or removing access to appropriate UBC and VSE Career Centre systems and tools
coordinates volunteers (10-20) and progress of their projects - Assists with informing the projects of 4 WorkLearn students
- Determines front line technical and training needs for new staff, student workers, and volunteers on relevant VSE Career Centre policies and procedures
- Coordinates training support and train new staff, student workers, and volunteer on technical, operational policies, and procedures
- Partakes in weekly staff meeting and co-lead weekly volunteer meetings
- Processes journal vouchers, Q-requisitions, and travel requirements and prepares financial reconciliations for OPTcard.
- Reconciles OPT Card for the Director and the VSE Career Centre
Job Requirements:
- High School graduation and one year post secondary diploma and two year post secondary diploma an asset.
- 3 years of related experience or the equivalent combination of education and experience.
- Knowledge/experience in a coaching environment an asset.
- Demonstrated excellence in both verbal and written communications, including writing, editing, and proofreading.
- Demonstrated ability to manage projects concurrently and successfully while working independently under general direction.
- Ability to act with tact, diplomacy and discretion.
- Strong interpersonal skills are required to establish and maintain relationships across multiple key stakeholders, tailoring communication styles accordingly.Self-motivated, eager to learn, and responds well to feedback.
- Must have a strong working experience with MS Office applications, including Word, PowerPoint and Excel.
- Experience with WordPress and surveying tools such as Qualtrics is an asset.
- Experience with Adobe Creative Cloud (Photoshop, InDesign, Illustrator), as well as experience with web and social media analytics an asset.
- Working knowledge of online databases and contact management systems an asset.
