Job Description:
The Menzies Aviation Fuel Accounting Supervisor provides on-site fuel inventory and finance support primarily to reconciliation of fuel data, fuel inventory, the role holder is responsible for ensuring the timely and accurate completion of any required station finance activity. Additional duties will vary according to local station requirements and may include administrative support to the station and other ad-hoc activity of a similar level.
Job Responsibilities:
- Responsible for supervision of the Fuel Accounting Inventory Clerks and assisting with completion of all their duties and
- Perform a Supervisory and lead role in the timely and accurate closing of fuel days in the FIMS system. This is a business-critical activity that is vital to both meeting customer contractual requirements and in supporting the business in raising timely and accurate customer billings required under our M&O agreement.
- Coordinate with the Accounting Manager and Operations Manager to ensure fuel BOL receipts, and all fuel farm related paperwork is collected and processed
- Coordinate with the Accounting Manager with regard to any non-finance activity and ensuring coverage of activity is available during planned absences is timely and accurate
- Entering fuel tickets into FIMS when Fuel Inventory Clerks are out of the office
- Receiving fuel orders into FIMS
- Coordinating the collection and collation of fuel tickets and fuel fann paperwork and ensure entry
- Perform a lead role in the timely and accurate receipt of fuel into FIMS, entering daily ending inventories and generating close reports. This is a business-critical activity that supports the management of fuel inventory.
- Assist in the entry of all daily fuel tickets completed according to local deadline as staffing requires
- Entering daily ending inventories into FIMS & reconciling all fuel fann related transactions
- Generating daily fuel close reports
- Comply with attendance/tardiness standards
- Effectively communicate with station and corporate personnel
- Supervise and perform all tasks associated with accounts payable, including maintaining vendor files, processing invoices, and entering the billing system for prompt payment.
- Maintaining account billing files.
- Perform other duties as assigned
- Coordinate with IP agents to ensure fuel tickets are collected and ready to be entered on-time. This will involve diligence in following up in instances of missed or illegible tickets and ensuring fuel staff understand the importance of timely and legible submission of tickets.
- Supervises and processes payroll for the department.
- Handles accounts receivable transactions and maintains accurate accounting.
- Accuracy of fuel ticket entry and reconciling QT transactions, with no re-entry required and no unaccounted variances.
- Entry of fuel BOL receipts completed according to local deadline.
Job Requirements:
- Able to remain calm under pressure
- Must excel in time management skills and require minimal supervision
- Must pass FBI background check and obtain US Customs seal
- Ability to learn quickly
- Must be at least 18 years of age
- Must pass pre-employment drug screen
- Ability to proficiently read, write and speak English
- Excellent communication skills
- Ability to understand and carry out oral and written instructions and request clarification when needed
- Strong interpersonal skills
- Bachelor’s degree with related experience and/or training preferred
- At least 4 years of accounting experience
- Ability to understand abstract concepts
- Solid understanding of general accounting concepts
- Computer literate with proficiency in Excel
- Ability to data-input rapidly and with accuracy, and ability to self-review work
- Ability to self-motivate and manage and prioritize workload
- Ability to work independently and solve complex issues
- Ability to work as part of a team
