Job Description: The Office Manager plans, coordinates, and leads all HQ office operations and communicates to all stakeholders effectively. As the point person for the HQ office, success in this position requires balancing the competing needs of internal teams and external visitors. This involves a high level of employee and visitor interaction. The ideal candidate will possess the technical acumen to communicate effectively with internal team members. Job Responsibilities: Coordinate planning and setup of recruitment assessment days, onboarding days and any special meetings with all involved stakeholders Lead the planning, implementation, and follow up of all office tasks and projects Maintain a safe, secure, and pleasant work environment Identify local team’s needs for office tools, and provide appropriate support Build relationships and manage daily communications related to office-based employees Coordinate office preparation, including meeting support Partner with recruitment and leadership team on recruitment assessment day and onboarding day plans Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office Ensure the implementation of Tesla standards is met Ensure office efficiency is maintained by carrying out continuous improvement of processes, tools and training Provide general support to visitors Partner with all employees at your location to deliver an exceptional daily experience for our employees and visitors Serve as liaison to, and work cross-functionally with all UK & Ireland based team Play an active role in achieving a consistent employee and visitor experience Job Requirements: Proven ability to drive operational excellence in a team environment. Ability to work in a dynamic and fast paced environment, multitask and prioritize appropriately. Enthusiastic and passionate about changes in the transportation industry. Valid driver’s license in the country in which you are applying and an acceptable and safe driving record. Experience working in a fast-paced operational role with demonstrated success driving change and improvements. Experience working with vehicles is preferred. Technological fluency and ability to operate within internal business systems and MS Office with moderate skills in MS Excel. Demonstrated ability to establish and maintain cooperative cross-functional relationships. Excellent organization and communication skills, both oral and written, and punctuality are essential. Proven office management or administrative experience. Willing to work flexible hours including weekends and holidays. Superior attention to detail. Strong desire to take initiative, eager to learn, result-oriented and creative thinker. Ability to organize tasks and processes, and to track findings and deliverables. Solid understanding of business processes. Self-starter who is goal-oriented, highly motivated and also able to follow instructions.
