As an Administrative Assistant, you will provide business support to multiple leaders and demonstrate a keen ability to think critically in a fast-paced environment. In this role, you serve as an extension of your leader, complimenting their work style while delivering the utmost poise, professionalism and leadership.
Job Responsibilities:
- Attend staff and other meetings, and drive to-do/action items through to completion, including following-up with anyone regarding outstanding tasks.
- Work successfully and independently in a dynamic and challenging work environment utilizing strong multi-tasking skills to meet often aggressive deadlines.
- Manage the expense reimbursement process, ensuring all receipts and bills are processed accurately.
- Plan ahead for travel including working out timing, flights, hotels, transportation and other aspects of business travel
- Collaborate with other assistants and business partners working across all time zones to manage critical aspects of the team’s operation.
- Assist with onboarding FTE and Managed Resources, including equipment, software, systems and/or building access, if needed.
- Plan team events across multiple sites, to build cross-group culture and fun
- Pro-actively and thoughtfully managing senior leader calendar, including resolving conflicts in a timely way, protecting time for necessary tasks, and working out scheduling issues creatively to avoid delaying key meetings.
- Prioritize work tasks, resolve issues and conflicts, and cope with ever changing priorities and unplanned tasks that often require very quick turnaround with accurate delivery and results.
- Coordinate staff meetings including obtaining agenda items, timely distribution of agenda, and starting conference line and Skype sessions.
- Find and implement new and better ways to help perform the operations of the business. Organize knowledge-sharing and other types of common methods and processes to help the greater team run efficiently.

Qualification & Experience:
- Experience supporting multiple managers with calendar management, travel arrangements, scheduling of meetings and event
- 4+ years of experience supporting multiple managers onsite and/or virtually
- 3+ years of experience supporting various business initiatives and projects
- Demonstrated experience working with Audio and Video Conferencing, to include experience with Microsoft, Skype and Zoom
- 3+ years of experience planning, organizing, and overseeing team, department, and special events such as All Hands meeting, Recognition meetings, staff meetings, etc.
- 3+ years of clerical experience demonstrated through work or military experience
