Job Description:
Typically supports executives, handling administrative duties. Performs diverse, advanced and confidential administrative support including composing, signing and releasing routine but somewhat complex correspondence. Relieves management of administrative details; gathers, compiles and reports information relevant to/for the executive. Reads, screens, refers and responds to incoming mail, ensuring that referrals are made, responses are gathered and summarized. Typically manages different and conflicting objectives, projects or activities at once. Coordinates schedules for corporate level executives. May act as liaison to outside groups coordinating events where the executive is a corporate chair, director or committee member. Communicates with executives and line management to gather/convey relevant information. Some staff at this level are involved in high-level client contact and exposure to sensitive information and must use considerable tact, diplomacy and judgment.
Technology and Operations Finance seeks a talented individual to enhance our culture of continuous improvement via Operational Excellence (Op Ex) and Simplify and Improve (SIM) activities. We are accountable for maintaining the financial discipline of the Global Technology and Global Operations organizations, which combine to account for over 85,000 teammates. Primary activities include forecasting & planning, month end close, reporting & commentary, and assisting our partners meet their financial objectives. This role will support 3 executives on the Senior Leadership Team.
Job Responsibilities:
- Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
- Calendar Management – upcoming commitments and responsibilities
- Meeting/agenda Management – Prep and meeting minutes
- Complete access reviews/Access Request (ARM) requests as needed
- Supports our diversity and inclusion efforts through the Employee Networks, the Employee Engagement and Inclusion Council, and CFO RISE recruiting
- Researches, prioritizes and follows up on requests, including those of a sensitive or confidential nature. Uses appropriate judgment and often interacts with other Executive Assistants across peers and clients
- Preparation and delivery of confidential documents to executive leadership, as well as agendas and documents for core routines, including leadership meetings
- Provides interactive support including calendar management, meeting coordination, escalation routing, as well as employee onboarding and technology, and review of travel and expense reimbursement
- Experience with booking and using MS Office, Cisco Telepresence and WebEx
Job Requirements:
- Ability to learn quickly and take on new responsibilities
- Organized, results-driven, and able to work on multiples tasks with limited supervision
- Advanced skills in Outlook and other MS Office programs (Excel, Word, PowerPoint
- Strong written and verbal communication skills along with excellent interpersonal skills
- Exemplary demonstrated work ethic with a desire to learn the business
- Enjoys working in a fast paced environment with rapidly changing demands and priorities; solid work ethic and willingness to take on new initiatives
- Proven track record of proactively, and independently, organizing with an ability to anticipate next steps and possible issues while working to effectively resolve issues
- Concur or similar experience processing travel and expenses
- Domestic and international travel experience
- 3+ years supporting Senior Leaders or Executives
- Undergraduate degree, or equivalent work experience
- Anticipate, prioritize and prepare executive for conference calls, meetings and presentation
- Must be comfortable managing a complicated, changeable meeting and travel schedule, and able to help manager prioritize and balance one-off and meeting routines
- Highly organized with strong attention to detail is critical
- Ability to work effectively under pressure and time constraints
