Job Responsibilities:
- Schedule and confirm appointments and maintain event calendars.
- Copy, file and maintain paper or electronic documents and records.
- Manage bookings by phone, e-mail, letter, fax or face-to-face.
- Answer telephone calls, take messages, forward calls.
- Record and prepare minutes of meetings.
- Arrange travel, related itineraries and make reservations.
- Greet, direct and manage sign-in procedures for all visitors and clients in a professional manner. Inform staff of arrivals and cancellations.
- Prepare and manage expense reports for Senior Management.
- 24/7 availability for executive leadership requirements (on-call).
- General office support to the team, such as ordering supplies, inventory maintenance, responsible for office machines in good working order and set up.
- Handle incoming and outgoing mail.
Job Requirements:
- Must be able to lift to 30 kg when required.
- Show initiative and work independently as required.
- Experience with MS Office, Word, Excel, Power Point, Outlook etc.
- Must be at least 18 years of age & legally able to work in Canada.
- Other duties as assigned.
- Must be professional in dealings with all internal and external client groups.
- Office Administration diploma/degree is an asset.
- Ability to communicate verbally and written in English in a clear, concise manner.
- Must be able to treat confidential information as required.
- Excellent organizational, planning skills and good attention to details.
- Experience with working in a busy, changing environment.
